This Privacy Policy explains how Splitfire AB ("smbCloud," "we," "us," or "our"), a company registered in Stockholm, Sweden, collects, uses, and protects information when you use smbCloud Mail, the MailX apps, and smbcloudmail.com (together, the "Service").
1. Information We Collect
We collect:
- Account information — the email address, mailbox name, and password (stored hashed, never in plain text) you provide when you sign up.
- Your email content and metadata — the messages you send and receive, and associated metadata (sender, recipient, timestamps, subject), which we necessarily process and store to operate a hosted email service.
- Billing information — if you subscribe to Personal Pro or a Business plan. Card and payment details are collected and processed directly by Stripe, Apple, or Google — we do not receive or store your full card number.
- Basic usage data — device and app version, and error logs, used to keep the Service reliable and to fix bugs.
2. On-Device AI
MailX's AI assistant, powered by Onde Inference, runs on-device. When you use it to draft a reply, summarize a thread, or tidy your writing, that processing happens locally on your phone, tablet, or computer — the content it works on is not sent to our servers or to Onde Inference's servers for that feature. Conversations you have with the assistant are saved on your device, not ours.
3. Cookies and Similar Technologies
We use strictly functional cookies to keep you signed in and to protect your account (session and authentication cookies). We do not use cookies or similar technologies for advertising, ad retargeting, or cross-site tracking, and we do not sell your data to advertisers.
4. How We Use Information
- To provide, maintain, and secure the Service.
- To deliver your email reliably and protect deliverability for you and other users (spam and abuse filtering).
- To process payments and manage your subscription, if you have a paid plan.
- To communicate with you about your account, service changes, or support requests.
- To detect, investigate, and prevent fraud or abuse.
5. How We Share Information
We share information only with the service providers needed to run smbCloud Mail — Stripe for payment processing, Apple and Google for mobile app distribution and in-app billing, domain registrars for Personal Pro and Business domain purchases, and our infrastructure and email-delivery providers. Each is bound to use your information only to provide their service to us. We do not sell your personal data or your email content to anyone, and we do not share it with advertisers. We may disclose information if required by law or to protect the rights, safety, or property of smbCloud, our users, or the public.
6. Data Retention
We retain your account and email data for as long as your account is active. If you delete your account, we delete or anonymize your personal data and email content within a reasonable period, except where we are required to retain certain records for legal, tax, or fraud-prevention purposes.
7. Your Rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can export or delete your mail directly from MailX, or contact us at support@smbcloudmail.com to exercise these rights.
8. International Data Transfers
Splitfire AB is based in Sweden, and we use infrastructure and service providers that may process data outside the European Economic Area. Where that happens, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses, to protect your data.
9. Children's Privacy
The Service is not directed at children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, contact us and we will remove it.
10. Security
We use industry-standard technical and organizational measures — including encryption in transit and hashed password storage — to protect your data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make a material change, we will post the updated policy here with a new "Last updated" date, and where appropriate notify you by email.
